1. Introduction
SHEPHERDCAVE SERVICES LTD (“SC Services Ltd”, “we”, “our” or “us”) is committed to protecting the privacy and personal data of all individuals whose information is processed through the Digital Nigeria Grassroots Football Platform (“Platform”).
This Privacy Policy explains how we collect, use, store, disclose and protect personal data when managing football competitions on behalf of sports governing bodies, tournament organisers and affiliated organisations.
We process personal data in accordance with the Nigeria Data Protection Act, 2023 (NDPA) and other applicable laws.
2. Who We Are
SC Services Ltd is a Sports Technology & Digital Competition Management company providing digital services that support the administration, communication and historical preservation of sporting competitions.
For competitions managed through this Platform, SC Services Ltd processes personal data only for legitimate competition management purposes and in accordance with instructions received from the Competition Organiser.
3. Scope of this Policy
This Policy applies to:
- visitors to the Platform;
- players;
- coaches;
- team officials;
- referees;
- competition officials;
- parents and guardians;
- media representatives;
- sponsors;
- authorised users; and
- any other person whose personal data is processed through the Platform.
4. Personal Data We Collect
Depending on the competition, we may process:
Players
- Full name
- Team
- Squad number
- Playing position
- Date of birth (used internally to determine age eligibility)
- Age (displayed where appropriate)
- Match appearances
- Goals
- Disciplinary records
- Competition achievements
- Player photograph (where authorised)
Team Officials
- Full name
- Role (Coach, Assistant Coach, Manager, etc.)
- Team affiliation
- Official photograph (where authorised)
Website Users
- IP address
- Browser information
- Device information
- Pages visited
- Cookies
- Website usage statistics
We do not intentionally collect personal data that is unnecessary for competition management.
5. Personal Data We Do Not Publish
To protect participants, particularly children, the Platform does not publish:
- full dates of birth;
- residential addresses;
- telephone numbers;
- email addresses;
- school records;
- medical information;
- national identification numbers; or
- financial information.
Where dates of birth are collected to verify age eligibility, they are used only for administrative purposes. Public player profiles display age rather than the full date of birth.
6. Why We Process Personal Data
We process personal data only where there is a lawful basis to do so.
Our purposes include:
- administering competitions;
- publishing fixtures and results;
- displaying league tables;
- maintaining player and team records;
- producing competition statistics;
- recognising sporting achievements;
- communicating official competition information;
- preserving historical competition archives;
- protecting the integrity of competitions;
- complying with legal obligations.
We do not sell personal data.
7. Children’s Personal Data
Many participants are under eighteen (18) years of age.
SC Services Ltd recognises that children’s personal data requires additional protection.
Accordingly:
- only limited personal information is collected;
- only information necessary for competition purposes is processed;
- unnecessary personal data is neither requested nor published;
- publication of children’s information is limited to competition-related information;
- additional safeguards apply to photographs and other media.
Parents or legal guardians may exercise applicable privacy rights on behalf of children, subject to competition rules and applicable law.

8. Sources of Personal Data
Personal data is normally received from:
- the Competition Organiser;
- state football associations;
- participating clubs or teams;
- authorised team officials;
- parents or guardians where required; or
- individuals directly.
SC Services Ltd does not ordinarily collect player information directly from children.
9. Sharing Personal Data
We may share personal data only where necessary with:
- the Competition Organiser;
- authorised competition officials;
- technology service providers supporting the Platform;
- cloud hosting providers;
- professional advisers;
- law enforcement agencies where required by law; or
- regulatory authorities.
We do not sell or rent personal data to third parties.
10. Cross-Border Data Transfers
The Platform is hosted using cloud infrastructure that may be located outside Nigeria.
Where personal data is transferred internationally, SC Services Ltd will take reasonable steps to ensure that appropriate safeguards are in place and that such transfers comply with the Nigeria Data Protection Act, 2023.
By participating in competitions managed through the Platform, participants acknowledge that limited competition information may be processed using secure international cloud infrastructure.
11. Data Security
We implement reasonable technical and organisational measures designed to protect personal data against:
- unauthorised access;
- accidental loss;
- unlawful disclosure;
- alteration;
- destruction; and
- misuse.
These measures include secure hosting, encrypted connections (HTTPS), access controls, backups and administrative safeguards.
No internet-based service can guarantee absolute security; however, we continually review and improve our security practices.
12. Data Retention
Personal data is retained only for as long as necessary to:
- administer competitions;
- preserve official sporting records;
- comply with legal obligations; or
- maintain historical competition archives.
Where personal data is no longer required, it will be securely deleted or anonymised in accordance with our Data Retention Policy.

Subject to applicable law, individuals may have the right to:
- request access to their personal data;
- request correction of inaccurate information;
- request deletion where legally appropriate;
